Scheduled hours: M-F 10:00am to 3:00pm

Endeavor Schools is seeking an Administrative Assistant to provide onsite administrative and operational support to the Endeavor Team headquarters located in Miami, FL. The primary objective of the Administrative Assistant role is to provide comprehensive administrative support, a broad range of clerical duties, and closely partner with the Chief Executive Officer, as well as individual departments, as needed to assure the smooth running of a busy office.

This is an ideal role for someone who is energetic, organized, and enjoys fostering a positive work environment.
Essential Responsibilities:
  • Coordination of general day-to-day tasks related to the administrative aspects, including formats and types of correspondence, documents, memos, meeting minutes and/or presentations materials, answering multi-line telephone system; determines the purpose of callers, and forwards calls to appropriate personnel or department, providing a welcoming environment for visitors and team members and proactively managing calendar priorities based on meetings, current projects, and team needs.
  • Data entry, including maintaining distribution lists, school data, and reconciliation of credit cards and/or expense reports. Assists with requirements and documentation necessary with state licensing for newly acquired schools.
  • Facilitate internal and external meetings and events including but not limited to team meetings, full staff meetings, and all offsite meetings hosted by Endeavor Schools. Coordinating arrangements with vendors to include travel, lodging, meals, employees from other regions, guest speakers, presentation materials, and equipment. May be required to attend events to ensure arrangements are handled according to plan and as a representative of Endeavor Schools.
  • Ensures organized office operations and procedures for the Miami office are being facilitated, i.e., mail distribution, overseeing the ordering of office supplies, ordering coffee and refreshment supplies, kitchen maintenance, distribution of office equipment, coordination of errands, and general upkeep of common spaces, conference and storage rooms.
  • Ensures cleanliness, neatness, professional appearance, and security of the Miami office. May assist with the security of the front doors by unlocking and locking them in the morning and evening. Maintains office keys. Coordinating office repairs as needed.
  • Coordinates with IT Department for office technology needs, upgrades, and issues.
  • Provide direct administrative support to the CEO, as needed.
  • Performs other related duties as assigned or requested. Endeavor Schools reserves the right to add or change duties at any time.

  • Ability to work highly independently, organize work with extreme attention to detail and accuracy; demonstrated skill in assessing timelines and coordinating numerous assignments and projects simultaneously within a fast-paced environment.
  • Exercises sound judgment in anticipating priorities and potential conflicts to ensure deadlines are met and team members are prepared.
  • Being an active communicator who is customer-centric is a must to ensure the business operations are seamless and effective.
  • Ability to expedite the flow of work and initiates follow-up when necessary.
  • Must be able to demonstrate excellent interpersonal, written, and oral communication (including active listening) skills.
  • Effectively balances competing priorities and time management skills.
  • Ability to handle confidential/sensitive information and exercise discretion.
  • Must be dependable, punctual, conscientious, courteous, resourceful, and flexible.
  • Strong work ethic and positive attitude.
  • Ability to use standard office equipment such as a laptop computer and smartphone.

Experience and Education
  • High School Diploma or General Education Development (GED) is required.
  • Minimum of two (2) years of administrative assistant experience or similar role
  • Experience using MS Office Suite, e.g., Word, Excel, PowerPoint, and Outlook as well as Zoom, Internet research, emails, Adobe, and other systems.
